Emails seem like a very easy tool to use. But are you using it correctly? Your email is the window that a potential client sees while conducting business with you. It should look good and professional.
What type of email are you using for your small business?
Does your business have a website? What is your email? Does it end with “Hotmail.com” or maybe “Yahoo.com”? Your email should always be 100% your brand. It should be from your website- whether its info@yourcompanyname.com, reservations@yourcompanyname.com or even mark@yourcompanyname.com it should always be hosted from your website.
Email accounts such as Hotmail, Yahoo or Gmail are reserved for personal accounts. Using these free email platforms is unprofessional and could actually scare off potential clients.
You can open your own email account my contacting your hosting company and asking them to activate your accounts.
Also, make sure to download an email software and configure its settings. Email softwares such as Mozilla Thunderbird or Microsoft Outlook work fine. If you do not know how to set this up, contact us and we can do this for a small fee.
Email Signatures: The Do’s & Don’ts
Email signatures alone can impress a client. A beautiful email signature shows professionalism. It separates you from the competition.
Your email signature should have your contact information. It should be precise and to the point. Don’t include your personal Facebook account, quotes, animated figures or random clip art. Your contact information should always be capable of being selected. This means that it should always be in plain text so that someone can select the text and copy.
If you want to include an image it should be small and just your logo. Most email software store images as attachments or block them by default. So, if you place your signature as an image, your correspondents will have a hard time guessing when you’ve sent a genuine attachment.
The best way to place the logo on the email signature is to write it out in pure HTML and call the image from your website’s host. You should try and avoid pure HTML email signatures, but if you do use it, make it simple, so that it can be understood on all email softwares.
